Feeling Too Busy? 4 Questions to Ask Yourself Before You Burn Out

“I’m too busy and something needs to change…”

If that’s looping in your head, you’re far from alone. For many 6- and 7-figure online business owners running courses, memberships, digital products, or high-level services, “too busy” stops being a phase and starts blocking real growth.

The good news? It’s fixable—and it often starts with a brutally honest look at your to-do list.

Grab your list (or open it), and walk through these four questions. They’re straightforward, but they create real breathing room.

1) Does this really need to be done? (And if yes—now or later?)

A lot of overwhelm comes from tasks that aren’t truly urgent—or necessary at all.

  • Some are just ideas in disguise: “maybe somedays” or “wouldn’t it be nice ifs.” Move those to a separate ideas list. Ideas aren’t to-dos.
  • Others don’t need to happen right now. Without a clear plan, everything feels like it’s due yesterday. For each item, ask: When does this actually need to be done? Next week? Next month? Quarter?

As an OBM, one of the first things I do with clients is build a realistic plan with timelines. Suddenly, the “everything now” pressure lifts.

After this, you’ll have a short list of true near-term priorities—and everything else parked where it belongs.

2) Do I actually need to be the one doing this?

This one’s tough for most owners. We default to “I’ll handle it” because we’re capable—and used to being the one who makes things happen. But that’s when things start slipping. Run through your trimmed list: Could someone else do this?

Common hurdles (and truths):

  • “I’m the only one here.” True for now—but growth means building support. You have the power to change that when ready.
  • “No one can do it as well as me.” That’s often a barrier we create. You might be the best right now, but processes can be documented, people trained, or specialists brought in.

One owner put it this way: “In my mind, the OBM is everything I am not doing well.” Another: “My Virtual Assistant is really amazing… but there isn’t anyone on our team who is the first mate, or mapping out the plan beyond the day-to-day tasks.”

I help clients ‘download’ their brain into documented processes so delegation feels confident and safe. The goal? Spot what could come off your plate—even if it’s just planning for it. That creates light at the end of the tunnel.

3) How can I create more space to get the real work done?

Now protect time for what’s left.

Two of my go-to’s:

  • Plan ahead and block your calendar. Book specific tasks or focused blocks (e.g., writing time, client deep work). Treat them like unbreakable appointments.
  • Set fierce boundaries. Distractions kill productivity—team pings, client “quick questions”, social media, family. Close the door, turn off notifications, communicate availability clearly, and practice saying no.

These small shifts reclaim hours fast.

4) Do I need to renegotiate any deadlines?

If you’re still underwater, own it early.

A simple script: “Hey, I got overcommitted here—that’s on me. I won’t have X to you until [new date], just wanted to flag it.

It feels uncomfortable, but transparency builds respect. People are often flexible with advance notice—and it’s always better than surprises.

Wrapping It Up

Then? Rinse and repeat.

The beauty of these 4 questions is that you can use them over and again. Work through this process every time you find yourself too busy, and ideally overtime you won’t need to anymore.
